Managers Meeting

The Manager’s Meeting will be delivered via a video conference call on Zoom. It is scheduled for Tuesday 12th April at 6pm. Invites have been sent out to group leaders and managers – if any managers have not received a link, please let a member of staff know.  The call will be recorded for anyone who can’t attend the live meeting

How to find Seaclose Park

Address: Seaclose Park, Fairlee Rd, Newport, PO30 2EL

On Arrival at the Tournament

  • On arrival cars will be directed to a designated parking area.
    The council allow free parking at Seaclose, but parking is extremely limited. We strongly encourage teams to car share as much as possible.
  • Wherever you park your car, please hide all valuables out of sight. Please do not park on grass areas – any cars parked here will face fines or clamping from the Council.
  • Those arriving in coaches will be asked to drop off at the grounds as there is no parking for coaches at the ground. Please obtain the mobile number of your driver and call him when you wish to be collected.
  • To ensure we direct you to the car park nearest to your playing area, anyone requiring disabled parking should make themselves known to the car park attendant immediately upon arrival.

Car Parking

The Council have made approximately 150 parking spaces available free of charge at Seaclose Park in the areas shown in the image below.
Please try to car share as much as possible. We would ask the players of local teams to be dropped off where possible.
If there are no spaces available at Seaclose, you must drive through the Quay to the next pay & display car park, or follow the road back round and park at Medina Leisure Centre.
There is no parking allowed on the grass areas. Any cars parked here will receive tickets and may be clamped.

Team Registration 

  • All teams must please register at the Tournament HQ at least 30 minutes prior to your first game.
  • Please make sure you have provided the names and dates of birth of your players on the Sports Tours Hub prior to arrival.
  • Please bring passports or photocopies with you – there may be “spot checks” and if players’ ages can not be verified, the player in question may be suspended from playing.

Other Important Information

  • Food & drink refreshments will be available at the festival grounds.
  • Toilets are available in the changing rooms, toilet block, and additional toilets will be available.
  • Please do not drop litter or leave rubbish – take it home with you or use the bins provided.
  • Limited changing facilities are available. Please do not leave your belongings in the changing room as they are a shared facility.
  • Tents and Gazebos are recommended but please do not put these up near the emergency access points and playing areas. We recommend bringing portable chairs to the venue. Please take them home with you after the event.
  • BBQs or other cooking equipment are not permitted at the rugby pitches.

Key highlights:

General Regulations

  • All games will be played in accordance with the rules set out in the FA Regulations as they apply to each individual age group and format.
  • Within the “spirit of the game”, if a team is unable to field the maximum number of players for any one game, the opposing team should play with the same amount of players on the field.
  • Please ask your coaches and parents to assist by being ready for your next match 5 minutes ahead of the scheduled time.
  • Players and supporters required to abide by the FA guidelines in relation to who is permitted onto the pitch.

Referees

  • Referees are provided for all age groups.
  • Referees are all qualified and associated with Hampshire FA

Player Welfare

  • Only players, coaches and authorised persons are allowed in the changing rooms. Teams should arrive ready to play.
  • Drinking water is available free of charge from the designated area in the changing rooms and clubhouse. You can purchase drinks & food at the grounds.
  • Emergency first aid will be provided; however, teams are expected to arrange transport to hospital or the medics will call 999 if required.

Event Photography

Please note that both team and action photographs will be taken throughout the festival and team photographs will be available to purchase on the day. Photographs will be available on the photographer’s website to purchase. Photographs may also be printed in the local newspaper and posted on websites or social media.  Any teams/individuals who do not wish to have their photographs taken must make this known to the photographers and Event Manager.

Codes of Conduct

  • Everybody attending the festival is expected to abide by the FA RESPECT Code of Conduct.
  • Please remember that everyone is there to have fun! Celebrate effort and good play from both sides.
  • Always respect the Referee and coaches and encourage players to do the same.
  • Please stay behind the touchline and behind the RESPECT
  • Never engage in, or tolerate, offensive, insulting, or abusive language or behaviour.
  • The organisers reserve the right to ask anyone who is considered to be behaving in an inappropriate way to leave the tournament.
  • Any behaviour falling below the standard expected by the rules and codes of conduct may be reported to the FA
  • Referee and match official abuse will not be tolerated under any circumstances and will result in the individual/team/Club being asked to leave the tournament and will be reported to the FA.

Players

  • Abide by the rules of the tournament and decisions made by the officials and referees.
  • Play fairly and demonstrate good sportsmanship both on and off the pitch.
  • Play by the laws of the game.
  • Do not argue with the referee.

Coaches and Parents

  • Act as a positive role model to all young players.
  • Be familiar with, and abide by, the FA child protection guidance in relation to verbal and emotional abuse.
  • Remember children play sport for their enjoyment.
  • Acknowledge good individual and team performance from all youngsters irrespective of which team they play for.
  • Respect match official’s decisions ‐ Remember, they provide an opportunity for youngsters to play and enjoy rugby.
  • Never verbally abuse players, match officials, fellow spectators, or coaches.
  • Acknowledge effort and good performance rather than the “win at all costs” ethic.
  • Verbally encourage all youngsters in a positive way. If you do want to shout, make sure it is ‘for’, not ‘at’, the players.
  • Condemn bad language, rude behaviour, and violence.

Discipline

All coaches, parents and players must be made aware of the tournament code of conduct and are subject to eviction from the tournament should the code be breached, this will be decided at the discretion of the tournament committee.

Tournament Committee

The management committee will have the power to apply, act upon and enforce the Rules of the Tournament and shall also have jurisdiction over all matters affecting the Tournaments, including any not provided for by the Rules. In the event of a dispute, only the team coach will discuss with the Committee.

  • How many games will we play?

    Each team will play up to 5 games per day – the duration of the games depends on the number of teams in each age category. However, each team will play up to the maximum number of minutes per day, as stipulated by The FA.

    Unfortunately, due to the nature of scheduling of pitches and age groups, we are unable to accept any preferred session requests for teams.

  • How can we check our fixtures and scores?

  • What I.D do we have to bring for the players?

    We ask that you bring league cards if available OR a photocopy of a passport for all players involved in the tournament. Age checks may be carried at any point during the tournament.

  • Shall we bring both home & away kits?

    To avoid kit clashes, we recommend you bring both your home & away strips, or bibs.

  • Do we have to bring footballs?

    Yes please – the ‘home’ team for each match will be required to provide the match ball.

  • Do you provide referees?

    We provide referees for all age groups. All referees are qualified and associated with Hampshire FA.

  • What footwear should players wear?

    All pitches are played on grass, so it is recommended to wear studded boots, but players are welcome to wear alternative footwear depending on the state of the ground surface.

  • Where is the venue and can we park onsite?

    Seaclose Park, Fairlee Rd, Newport, PO30 2EL

    Parking is available and free of charge, but is very limited. We strongly encourage car sharing as much as possible, otherwise you may have to pay to park at an alternative location.

  • What catering options are there?

    There will be a food van, ice cream van and coffee stand onsite.

  • Will alcohol be served?

    Alcohol will not be served at the tournament venue.

  • Can we bring our own alcohol to the tournament venue?

    Adults over 18 can bring alcohol onsite, but please do not bring glass onsite in the interest of safety.
    Please do not drink alcohol at the pitch-side during matches.

  • Will there be a presentation?

    Yes, there will be a presentation at the Lower Hyde Holiday Park entertainment venue on Sunday evening for teams staying at Landguard Holiday Park.

    Local teams will be able to collect their awards at the pitches once their matches are finished.

  • Will players receive medals/trophies?

    All players will receive a participation medal and there will be winners and runners up trophies for the first and second placed teams in each age group.

    Those attending the presentation (touring teams) will be awarded their medals and trophies by Southampton legend, Francis Benali!

    Local teams will receive their medals at the tournament venue.

  • What happens if a member of my group causes damage to the accommodation or the event site?

    All damages should be reported prior to departure. The cost of any damage or compensation is the joint responsibility of all group members. It is for the service provider / host club / accommodation centre to reasonably determine the value of the damage or compensation. Any costs will be charged to your group and will be payable on demand. Where your group has paid a security deposit directly to the accommodation centre, any issues will be in accordance with their own policy.
